Manage projects, team and finances in one place. This guide walks you through every part, straight to the point.

Getting started

Creating your account and signing in takes less than a minute.

  • Sign in with Google, with a magic link sent to your email, or with email and password. The first time you sign in, your account is created automatically.
  • From the dashboard you can see all the workspaces you take part in.
  • Create your first workspace and start adding projects and people.

Workspaces

The workspace is the container for everything: projects, team and finances.

  • Each workspace groups projects, members, departments, finances and reports.
  • Only workspace members can see its content.
  • The owner invites or removes members from the Members section.
  • Only the owner can delete a workspace (confirmed by typing its name).

Projects

Each project is a mini space with its own board, people and data.

  • You create projects with a name, description, colour and linked departments.
  • Each project has four views: Board (Kanban), Notes, Links and Calendar.
  • The owner assigns members to each project; each person can only access the projects they have been assigned to.
  • Filter between 'All' and 'My projects' to see only your own.

Kanban board

The heart of day-to-day management: tasks that move through statuses.

  • Tasks are organized in columns by status. Drag a task from one column to another to change its status (works with a mouse and on your phone).
  • Create tasks from the + in each column: title, description, priority, assignee, due date and tags.
  • Tasks appear instantly, without reloading.
  • You can create your own columns with their own name and colour, in addition to the four default ones (Pending, In progress, In review, Completed).
  • Clicking a task opens its details so you can edit, reassign or delete it.

Priorities and colours

Colour is the language of the board: at a glance you know what to tackle first.

  • Every task has a priority: Urgent, High, Medium or Low, marked with a coloured dot.
  • The colour softens as urgency drops: red for Urgent, orange for High, blue for Medium and green for Low.
  • Board columns also have a colour per status: Pending (grey), In progress (amber), In review (teal) and Completed (green).
  • Departments and projects have their own colour so you can tell them apart quickly in lists and avatars.
  • Tags add an extra layer to group tasks by topic without changing their status or priority.

Calendar, notes and links

All the project context, in one place.

  • Calendar: a monthly view with tasks by due date and any events you add yourself.
  • Notes: a free-form notepad for each project, with autosave.
  • Links: save important external links (title + URL) to keep them handy.

Team, departments and project assignment

Add your people to the workspace once and spread them across projects as you need.

  • Invite someone to the workspace from the Members section (only the owner can do this).
  • Inside each project, the owner opens the members panel (+ button) and assigns or removes people from THAT project.
  • The same person can be assigned to several different projects within the same workspace (Project A and Project B at the same time).
  • Each person can only access the projects they have been assigned to; the owner sees them all.
  • Organize work by department (Development, Data, Marketing, Branding, etc.) and filter by area.
  • Each task shows its department and the assignees with their avatars.

Finances and balance

Manage the team's money without leaving the tool: accounts, transactions, budgets and balance.

  • Accounts: create accounts (cash, bank, e-wallet, etc.) with their balance. Every transaction updates the balance automatically.
  • Categories: classify income and expenses (sales, salaries, services, taxes…) to see where the money goes.
  • Transactions: record income and expenses with date, amount, category and account. You can link them to a project to see its real cost.
  • Budgets: set a cap per category and track how much you have spent against the budget.
  • Transfers: move money between your accounts without it counting as income or expense.
  • Balance and charts: see the workspace balance, income vs expenses, spending by category and by project, and the month-by-month trend.

Reports and metrics

Your team's pulse, in numbers.

  • Project and task summary: how many there are by status and by priority.
  • Team progress and workload per person, to spot bottlenecks.
  • Combined with Finances, it gives you the full picture: what was done and what it cost.

Your profile

Your identity inside the tool, editable whenever you like.

  • Open your profile from your avatar (in the dashboard bar or at the top of the workspace sidebar).
  • Edit your name, your initials (the ones shown in your avatar) and your department. Email and role are read-only.
  • See the list of your workspaces with your role, plus a summary of your activity: assigned projects and tasks, broken down by status.

Roles, access and plans

Everyone sees only what is relevant to them.

  • Owner: creates the workspace, manages members and projects, runs the finances and has access to everything.
  • Member: only accesses the projects they have been assigned to; does not create or delete projects or manage members.
  • Access is checked by membership, both at workspace level and for each project.
  • Plan: new accounts can create one workspace; invited members work inside the existing one.

Frequently asked questions

How do I create a TSKM account?+

Go to the login page and sign in with Google, with a magic link sent to your email, or with email and password. The first time you sign in, your account is created automatically.

How many workspaces can I create?+

New accounts can create one (1) workspace. If you were invited to one, you work inside it. Founding users can create several.

Can I manage the team's finances?+

Yes. The Finances section of each workspace lets you add accounts, categories, transactions, budgets and transfers, and see the balance in charts.

What does the balance show?+

The total balance and the balance per account, income vs expenses, spending by category and by project, and the workspace's month-by-month trend.

Can I find out how much a project costs?+

Yes: when you record transactions you can link them to a project, and the reports show spending by project.

How does the Kanban board work?+

Tasks are organized in columns by status and you drag them between columns to change their status. It works with a mouse and on your phone too.

What priorities can tasks have and what do the colours mean?+

Each task can be Urgent, High, Medium or Low, with a coloured dot (from red to green) so you can identify it at a glance. Columns, departments and projects also have their own colour.

Can I assign the same person to several projects in the same workspace?+

Yes. You add the person to the workspace once, and then the owner assigns them to whichever projects they want within that workspace. Each person only sees the projects they are assigned to.

Who can see or delete what?+

You only see the workspaces and projects you are a member of. Deleting workspaces and projects is reserved for the owner and asks for confirmation.
